Hello, my name is Sardor Davlenov. I am a solutions engineer here at QA and in this video series, we're going to go over key admin functionalities.

You can access the admin view by clicking on this building icon here in the top left. So, this exposes the admin panel, and we will go over each of the sections we see here in the following videos.

In this video, we will discuss teams, subteams, and members. To invite users and members we will start in the admin view by clicking on this building icon on the top left. And clicking that brings us right into the organization section. We will now look for the Invite a user button here on the top right. And from here, you can simply type the e-mail of the user that you want to invite and then fill out their first and last name. You can now click on Add or type in another user that you wanted to invite. So, type in their e-mail and type in their first and last name. Now from here we could click on Add and invite these two users.

We can also invite users in bulk by importing a CSV. To do so, we click on the Import CSV button here. From this section, you can also type in an “e-mail address, first name, last name” or upload a CSV file with multiple entries.

And the CSV format looks something like this. So, we have three columns: “user_email”, second column “user_first_name”, and the third column “user_last_name”.

Now on to member management. We will start from the organization section in admin view and click on View Members. Members, sometimes called users, are the people who have a license in your account. People who access your accounts, regardless of whether they have training, access, admin privileges, or part of a team are members.

Members also have a type of membership. Administrators, for example, can access information about all the members in your account. Team managers and stakeholders can access information about the members of the teams in which they are manager or stakeholder of. Any member can access information about themselves by simply hovering over their initials here on the top right and clicking on their name.

So, from here I can see info like what teams I am a part of and my skill growth. I can also upload a certification with this button here. Now this is important to note because only users themselves can upload their certifications. An admin cannot do that for you. So, let's do that by clicking on the Upload a certification button.

So, from here, I will select my certification file. Now it's important to note that the rest of the fields must be filled out correctly. So, I will select for the provider AWS, the certification name is Cloud Practitioner, my achievement date, I will go ahead and look for that. Click on Apply. My expiration date, I'll look for that as well. Click on Apply. Certification ID, as well as the Certification URL. And from here we simply click on Add certification.

There are also some possible member statuses. If you invite a new member and the new member has not accepted the invitation, that user is in the invalid status. A member who has accepted the invitation and has permission to use the platform is an active status. A user can also have a deleted status, and deleted users are generally excluded from your platform.

If you click on the three dots next to a member's name, you will see that you can either add the member to another team, assign a job role, move them to a different team, swap their license, remove content access, add or remove admin access, or remove them from the organization.

You can also open up a member spotlight by clicking on any of the members. So, I'm going to click on myself and open up my Member Spotlight. From the Member Spotlight screen, you can see the status of the member, whether or not they have content access, the date they joined, and their license expiration date.

From the Action button here, you can perform the actions we discussed on the previous screen when we clicked on the three dots next to their name. Below you can also see the teams that the members are part of, and on the right you can see the programs that they're currently in and the ones they have completed.

From the tabs on the top, you can see things like statistics, so things like their Skill Profiles and Analytics on their platform usage for the last 30 days. And the Certification tab will let you see any certifications that they may have within your organization.

So, what is a team? A team is a group of team members plus one or more team managers. Teams can onboard together, complete training plans together, and appear in reports and analytics together. A single member can be on multiple teams and in different roles as a member, stakeholder, or a team manager.

But how do we organize a team? Well, to start off, I want to say that there's no right or wrong way to organize teams. You can model teams based on your organization structure. So, maybe have an engineering team or an IT operation team or a marketing team and so on. Or we can think of this regionally and have a team called DevOps - North America for our North American learners and DevOps - EMEA for our European counterparts.

But more often than not, it may be easier to create teams based on learning objectives. So, maybe a team that's focused on AWS training or artificial intelligence, or a Python developer team focused on Python Courses and Labs.

Teams can also have subteams, which can make your organization even more specific.

So how do we create a team? To do so, we are in the organization section in admin view, and we'll go ahead and select the Create team button here. We'll call this team something like “AWS Training” and then select Create team. Now we all know that AWS is a domain with many different aspects. So, we can have a team like this, which is sort of the overarching AWS training umbrella and put subteams in that team to deal with the different aspects of AWS. So maybe a subteam called AWS Cloud Practitioner that has content that will help you attain that certification.

So how do we create a subteam? We are in the team view, so we will simply look for the Create subteam button here and give this a name like “AWS Cloud Practitioner” and select Create team. From here, we can go back to our main team called AWS Training and let's go ahead and select create another subteam by clicking on this button here and call it something like “AWS Solutions Architect”. And we'll go back into our main team here. So now, anyone assigned to these subteams will only see the content that's relevant to them.

So, how do we add members to the team? So, from the main team view, we could look for the Add members button here on the top right and search for members. So, I'll go ahead and add Jonny to this team. I will go ahead and select his name and click on Add.

We can also add a manager to this team by looking for the Add manager button here in the middle. And then I'll go ahead and look for my name, and on the team role section I will go ahead and select Team Manager from the dropdown and select the Add button.

Now there are other tabs here in the team view. So, we have Programs where you can create a Program for the team, Skill Assessments which lets you create a baseline for the team, and Skill Growth which lets you see a week over week percentage and increase in skills.

To delete a team, simply look for the three buttons next to the team name and select Delete Team. It'll ask you to confirm, so you could go ahead and click on Delete. Now this is important to note - we have a notice that tells us that this team has subteams and therefore cannot be deleted.

So, we will click on this DevOps - North America team, look for its subteam here and look for the three buttons next to that team name and select Delete Team. We can now look for the three dots on the top right here in the main team view and select Delete Team from here.

Once you've created your teams and subteams, assigned members and managers, you can start organizing your Learning Paths. To assign a Program, simply click on the team or subteam you wish to assign it to. So, I'll click on AWS Training and then look for the Create a Program for the team button here in the middle.

From this section, you can either select a Content-Based Program, which lets you manually select content from our library, or a Skill-Based Program, which lets you select skills you want to measure and improve on.

We discuss skill-based training in another video, so from here we'll just select a Content-Based Program. Now your options here are either create a Program for the team, which assigns training to all current members of the team as well as any new members who join the team. You can also select Team Onboarding, which assigns onboarding training to all members who join the selected team, or individual team members of the selected team.

In our example, we'll select the Team. So, we'll give this Program and name something like “AWS Program”. We can also add a description if we'd like or simply click on the Continue button.

From here, you can select the content from our library. We could go ahead and add a filter, so let's filter it out by platform and select AWS and select some Lessons, as well as Labs, maybe some Courses. And after you have selected the content, you can click on Update program content here on the bottom right.

If you want to change the order of the content, you can do so by selecting these six dots and dragging and dropping to the order that you like. You can also add more content by selecting Select from the Content library or simply click on Continue if it all looks good.

From here, you could toggle the Weekly Commitment or change the Fixed Duration from 30 days to maybe something like 90 days. And if it all looks good, you could go ahead and click on Confirm and deploy.

You can also assign a Skill Assessment to get a baseline of where your learners are currently at for a skill. So, for this one, we will create a baseline for AWS Fundamentals for the AWS Training team. So, after we click on the team, we can click on the Skill Assessment tab right here on the top and we'll go ahead and select Create your first Skill Assessment. We will call this something like “AWS Baseline” and click on Continue. And from here I will search for “AWS” and select the skill called AWS Core Fundamentals. You can select more than one if you'd like, but we will do one for now and select Continue.

From here, we could select the days that we want to give our learners to complete this Skill Assessment, and we'll go ahead and maybe make it something like 20 days. And then go ahead and click on Confirm and deploy.
