Hello and welcome to Working with Microsoft 365 Copilot in Teams

My name is Lee Mucciarone, and I am a Microsoft 365 content creator for Cloud Academy.

I have 4 years of IT experience working for Microsoft, with 2 years of specialized experience as a customer training specialist training users on Microsoft tools.

Today we are looking at Microsoft’s new AI Assistant, Microsoft 365 Copilot

Specifically, I will be taking you through Microsoft Teams and how Copilot can improve your workflow with its powerful generative capabilities.

So lets jump right into Teams and see what were working with

Microsoft Teams is where Copilot really shines.

Not only does it have Copilot chat built right into Teams but it has some amazing features that function incredibly well with your calendar that can help save you a bunch of time.

So lets start off with the meetings and then move into the Copilot chat window

Firstly, it is important to note that Copilot in Teams Meetings requires that transcription is turned on as that is what it uses for context with which to provide responses

If transcription is not enabled than copilot will be disabled for the meeting, however if it is enabled then copilot should be good to go!

Just like every other time we have used copilot we can find it in the ribbon up here.

Clicking on that opens our prompt window which we can then use to interact with copilot.

The functionality remains the same however a lot of the power of Copilot in teams is its ability to recall information and provide it to you without you having to spend significant amounts of time searching for it.

Lets pretend that this meeting has gone on for an hour and if I am being honest, I may have tuned out for a couple of minutes at some point during it.

I can ask copilot to summarize the meeting, and it will give me all of the key points covered over the entire hour.

We can see copilot was able to tell us that the meeting was regarding project A.L. as well as some specific things we discussed during the meeting

I can have copilot generate meeting notes, list action items, suggest follow up questions, or even something more specific like individuals perspectives on the project as a whole

And this functionality doesn’t stop once the meeting Is concluded.

If we head back into our calendar and open up the meeting, we can see all the meeting information and a pretty in depth post meeting recap

Next to the recording we have a few options but the 2 I am interested in are the AI notes and the @ mentions

The AI notes are a quick summary of what happened in the meeting and if we scroll down we can see there are some follow up tasks for the meeting as well.

The @mentions is another cool features because it tells you at any point in the meeting if you were specifically mentioned along with a time stamp of when, however in this meeting I was not mentioned.

But to get more out of this recap and meeting, we can open up the copilot window with the copilot button and interact with it just like we did during the meeting.

If I ask it for a recap of the entire meeting and just like before it will provide me with a recap of everything covered in the meeting.

But maybe my favorite features is that we can ask coplot to create an email recap to send out to the participants of the meeting

Honestly, most of Copilot in teams meetings is very action item oriented, however since Copilot Chat is built right into teams you can get much more functionality than just the meetings options

If we open up our copilot chat window, this is the exact same app you can access from your office portal only built right into teams.

Because of this, you don’t need to jump between copilot and teams and can just work right within Teams.

And this is where the lesson sort of moves from a Copilot in Teams lesson to a Copilot Chat lesson

I wanted to keep this in the same lesson because while it is effectively a different app, it functions exactly the same and heavily relies on data within your environment, so there is no real difference between working within Teams or outside of teams.

The best way to describe Microsoft 365 Copilot Chat is simply as a generative AI tool with the only real difference being that it utilizes your data to inform its generation

Just like every other time we work with copilot we have the prompt window with the new chat button and suggestions for prompts

As a reminder it is always suggested when moving on between prompts that you click the new chat button just to refresh the AI

But lets talk about Copilot chat.

If you have watched the other lessons on Copilot in other apps, this is really where we can pull all of those prompts and information into a single location

Returning back to our Word lessons on copilot, we created a document about the lemuccia company with a bunch of information

Ill ask Copilot to “give me a bullet list of key points from the /brief history document”, and copilot will pull from that document and give us a nicely organized list of points from that document alongside linked directing to the location of that information within the document

But copilot also pulls information from your environment without you having to specify a document.

Going back to our PowerPoint lessons we created a presentation on current stock tends

I can ask copilot “What are current stock trends” and it will search my environment, find anything that might pertain to current strock trends, like the document we created, and provide me with that information without ever having to specify the document.

This is perfect for when you aren’t sure of a document’s name but know that there was some specific information within it.

And speaking of forgetting the name of a document, I could even ask copilot to find a document for me.

In the excel lesson I went over profit numbers and broke things down into taxed profit, so I can ask copilot “Where can I find my taxed profit document” and copilot will show me whatever document had information pertaining to taxed profit

I can click on the links and be brought right into the document.

But Copilot chat can even help you find information within your inbox

In our Outlook lesson we sent a few emails about Project A.L.

So I can ask copilot whats the most recent updates with Project A.L.

After a moment I returns with information from a document about Project A.L. as well as information about an email exchange between myself and my cloud academy email about it with direct links to the information.

If nothing else, Copilot does do a fantastic job of helping you in finding information across your environment.

Not to mention, we can see all of our recent copilot chats and open them up simply by clicking them which gives us a nice history functionality with it as well.

But those are the basics of Copilot within Teams

And I say basics because Copilot encompasses such a wide range of functions.

Because of its wide reach, it is nearly impossible to cover everything it is capable of, so I highly suggests getting in there and messing around with it yourself to get a better idea of all of it’s capabilities.
